Visa and permit outcomes are decided by embassies, visa offices, and immigration regulators — not by Red Leaf Consultancy. We describe realistic pathways based on current published rules. We do not guarantee visas, study permits, PR approvals, or English test scores. Fees paid to us cover professional service time; they are not refundable if an application is refused unless a separate written agreement states otherwise.

01 —Who We Are

Red Leaf Consultancy Services (also trading as RedLeaf Consultancy) is an immigration counselling and English test-preparation firm registered in India. We operate from:

We are registered under: GST, Shop & Establishment Act (Haryana), and MSME / Udyam. Our practice is aligned with MARA guidelines (Australia), OISC awareness (United Kingdom), and IAA standards (New Zealand).

02 —What This Policy Covers

This notice applies to:

  • Visitors to www.redleafconsultancy.com (this website)
  • Prospective and enrolled students who share information with us in person, by phone, WhatsApp, or email
  • Families or sponsors who engage us on behalf of an applicant

It does not cover third-party websites, immigration portals (e.g., IRCC, UK Visas and Immigration), or English test providers (e.g., British Council, IDP, Pearson) — those are governed by their own privacy policies.

03 —Information We Collect

A — Information you give us directly

  • Contact details: name, phone number, WhatsApp number, email address
  • Application information: passport details, academic transcripts, financial statements, English test scores, and other documents needed to assess or build your immigration file
  • Visa history: previous applications, refusals, travel history
  • Financial information: funds available, GIC details, sponsor information — only as relevant to your file
  • Communication records: messages, notes from consultations, and call records where applicable

B — Information collected via the website

  • Upload Documents form: this flow constructs a WhatsApp message entirely in your browser. Files you select are read locally to generate filenames for the message — they are not transmitted to our servers. The WhatsApp conversation that follows is governed by Meta's privacy policy.
  • Standard server logs: our hosting provider records standard access logs (IP address, browser type, pages visited, timestamps). These logs are used for security and performance monitoring only.
  • Fonts: this site uses Google Fonts. Google may receive your IP address when fonts are loaded. See Google's privacy policy.

C — What we do NOT collect

  • Advertising or remarketing pixels are not present on this website
  • We do not use tracking analytics tools (e.g., Google Analytics) on this site
  • We do not sell or rent your personal data to third parties
  • We do not purchase lead lists or contact you without prior engagement

04 —How We Use Your Information

We use personal information to:

  • Assess your immigration or English test pathway and provide counselling
  • Prepare, review, and submit visa or permit applications on your instruction
  • Communicate appointment times, document checklists, and application updates
  • Issue invoices, receipts, and maintain business accounting records
  • Comply with legal and regulatory obligations (e.g., GST records)
  • Defend against claims or complaints if a dispute arises

We process this data on the basis of contract performance (to deliver the services you engage us for), legal obligation, and, where applicable, your consent.

05 —Who We Share Your Data With

We share your information only as required to deliver services:

  • Immigration authorities: IRCC (Canada), UKVI, Home Affairs (Australia), relevant EU consulates, and other regulators — as part of your application
  • Designated Learning Institutions / universities: for college applications and conditional letters of acceptance
  • English test centres: if registration or score verification is required
  • Financial institutions: for GIC or proof-of-funds verification, at your instruction
  • Our staff: counsellors, document handlers, and administrative staff who need access to process your file

We do not share your data with unrelated third parties, data brokers, or marketing companies.

06 —How Long We Keep Your Data

  • Active client files: retained for the duration of the engagement plus 7 years to comply with tax, accounting, and professional obligations
  • Enquiries that did not proceed: retained for 12 months then securely deleted unless you re-engage
  • Application documents: retained until the visa decision is received and confirmed with you, then for 7 years as above
  • WhatsApp / email conversations: governed by the respective platform's retention policies; our copies retained for 7 years

After the retention period, physical documents are shredded and digital files are permanently deleted.

07 —Your Rights Under India's DPDP Act 2023

Under the Digital Personal Data Protection Act 2023 (once notified and in force), as a data principal you have the right to:

Access Request a summary of personal data we hold about you and how it is processed.
Correction Request correction of inaccurate or incomplete personal data.
Erasure Request deletion of personal data when the purpose for processing has ended, subject to legal retention requirements.
Grievance redressal Lodge a complaint with us; if unresolved, escalate to the Data Protection Board of India.
Nominate Nominate a person to exercise your rights on your behalf in the event of incapacity or death.

To exercise any of these rights, contact us in writing at info@redleafconsultancy.com. We will respond within 30 days.

Note: certain rights may be limited where retention is required by law (e.g., tax records under CGST Act) or where processing is necessary to defend a legal claim.

08 —Security

We take reasonable organisational and technical measures to protect your data:

  • This website is served exclusively over HTTPS (TLS encrypted)
  • Physical documents are stored in a locked office accessible only to authorised staff
  • Digital files are stored on password-protected devices and cloud accounts with multi-factor authentication
  • Staff with access to client files are trained on confidentiality obligations

No system is completely secure. If you believe your data has been compromised, contact us immediately at info@redleafconsultancy.com.

09 —Cookies & Tracking

This website does not set advertising cookies or use remarketing pixels.

Third-party services that may set technical cookies include:

  • Google Fonts (font delivery) — Google's privacy policy applies
  • Google Maps embed on the contact section — Google's privacy policy applies; the embed uses loading="lazy" and referrerpolicy="no-referrer-when-downgrade"

Because we do not run analytics or advertising trackers, no cookie consent banner is currently required under our assessment of applicable law. We will update this policy if our practices change.

10 —Cross-Border Data Transfers

By engaging our services for immigration to Canada, the UK, Australia, Germany, or other destinations, you understand and accept that your personal data must be transmitted to authorities and institutions in those countries. Such transfers are necessary to provide the service and form part of our contract with you.

These countries have varying data protection standards. We take reasonable steps to use official submission channels (e.g., IRCC's secure portal, UKVI online applications) and share only the minimum data required.

11 —Children's Data

This website is not directed at children under 18. However, we do assist families with dependent-child visas and guardianship files. In these cases, a parent or legal guardian must consent on behalf of the minor, and we process the child's data solely for the purpose of the immigration application.

12 —Complaints & Grievance Officer

If you have a concern about how we handle your personal data:

  1. Contact us first at info@redleafconsultancy.com with the subject line "Data Grievance". We will acknowledge within 48 hours and aim to resolve within 30 days.
  2. If unresolved, you may escalate to the Data Protection Board of India once it is constituted under the DPDP Act 2023.

For complaints about immigration advice or professional conduct, contact us at the same address and we will follow our internal escalation procedure.

13 —Changes to This Policy

We may update this policy when our practices change or legislation is amended. The "Effective" date at the top of this page reflects the latest revision. For material changes, we will notify active clients by WhatsApp or email at least 14 days before the change takes effect.

Continued engagement with our services after the effective date constitutes acceptance of the updated policy.

14 —Governing Law

This privacy policy is governed by the laws of India, including the Information Technology Act 2000, the Digital Personal Data Protection Act 2023, and any rules notified thereunder. Any dispute arising from this policy shall be subject to the jurisdiction of courts in Fatehabad district, Haryana, India.
